Outlook & OWA Synchronization Issue

While Outlook Web Access (OWA) or Outlook faces synchronization issue with Exchange Server, below are indications that users should know:

  • It may possible that the number of mails in folders of Outlook 2003/2007/2010 and OWA have differences
  • Users may face trouble to operate Outlook but when the cache mode is disabled, the process goes smooth
  • Message errors can be noticed when OST is inaccessible or the OST file is synchronized with Exchange Server
  • After synchronization with Exchange Server, some items of the OST folder (tasks, calendars, emails, contacts etc) and Exchange mailbox are missing

How to Fix the Issue

MS offers free OST Integrity Check software to fix the synchronization issues between Exchange Server and OST. The local copy Exchange mailbox and the respective mailbox are compared. In case, any dissimilarity is noticed, the scanost.exe reconciles (there is no modification done in mailbox data). The scan log keeps record of the issues under Deleted Items Folder.


Users of Outlook 2003/2007

Run Scanost.exe to find out inconsistency, enter the Profile name and two options are offered- Connect or Work Offline, click on “Connect.

In case users wish that OST Integrity Check software automatically fix the inconsistency during scanning OST, then enable “Repair Errors” and go to “Begin Scan”.


Users of Outlook 2010

OST Check Integrity Check tool is not working in Outlook 2010, if the issue is noticed resynchronization is recommended. Below are the steps to follow:

  • Select the required file and right-click! Now choose “Properties”
  • Then press “Clear Offline Items” and next “OK”
  • Now in the app ribbon, press ‘Send/Receive’ tab to start sync process
  • Press ‘update folder’

If the above step is not worked re-build OST file.
